Pre-Conference Preparation

  • Presentations will be delivered live, if possible (as in, the presenter is in Dallas).

    Some presenters have unfortunately had their visas denied and so we'll be playing the recording.

    Additionally, we do not have the resources to record and process videos during the conference, so pre-recording allows online-only attendees to have access to the presentations.

    Also, if your presentation has a draw for the Deaf audience, allowing interpreters time to study the material will help them interpret better on the day of the presentation.

  • Here is a tutorial provided by Oklahoma University with step-by-step instructions on how to record a presentation in Zoom.

    We recommend a few practice runs to familiarize yourself with Zoom controls. If you don't have a Zoom Pro account your recording is limited to 40 minutes.

    We do not require you to use Zoom to record, but it is an easy and affordable choice.

    • The video file format should be .mp4.

    • Preferred resolution no larger than 1920x1080. 1280x720 is great. Lower resolutions may be acceptable after review.

    • No file size limit (just time and resolution).

  • Your presentation should be 24-25 minutes, which will allow time for introductions and Q&As during the 35 minute time slot.

    If you are not able to present in person your presentation may be up to 30 minutes.

  • No later than 31 August 2025

  • Store the MP4 either in a storage solution such as Box or Drive or upload to YouTube and share the information with the team using this form.

  • You may upload PDFs and images to Whova. This is encouraged, but not required. This will allow conference attendees to follow along with your presentation.

    If you want to submit a PowerPoint, please share the file with the facilitation team.

    All submitted slides and other files will be included with the conference proceedings.

Day-Of Preparation

  • Presenters are responsible from presenting their own slides from their own devices.

    However, if a presenter is unable to attend the conference, their presentation will be played during their scheduled time slot.

  • Please bring a laptop or device containing any aides for your presentation, such as slides or a clicker.

    Your computer must be able to connect to an HDMI connector. If your computer does not have an HDMI input you are responsible for bringing a converter dongle.

  • Please arrive 10 minutes early to your scheduled presentation slot to set up your computer and familiarize yourself with the microphone, etc.
