Lodging FAQs
This is the first year the BTConference is including lodging (at the Empress Hotel) as an add-on option. When you register for the conference, make sure you have also booked your accommodation. We thank you for your patience and grace as we work through this added complexity.
We have a block of Deluxe and Superior rooms at The Empress available from October 24th 2025 to November 1st 2025, which are being offered on a first-come, first-served basis. Please make your reservation by September 5th 2025.
Update July 2025
No more Superior rooms are available at the Empress
Once all of the Deluxe rooms are filled, The Empress has offered to open an additional hotel so that they can ensure everyone has a room. This option is currently undergoing a quality control assessment by the BT Facilitation team and will be confirmed by the end of July. If the hotel passes the assessment, rooms will be available until Nov. 6.

You were charged the correct cost when you registered. If you received another registration confirmation in early-mid July stating the regular (non-early-bird) price, it is because we had to move your registration to another system.
You will not be charged additional costs.

As part of moving registrations from an old system to a new system, people were initially waitlisted, but then registered. Your registration was not impacted. You have a room.

The hotel package at the Empress Hotel includes a stay from Monday, October 27 - Saturday, November 1.
All breakfasts and lunches are included in this cost.
Dinner is not included, but there are many affordable dining options nearby.

Every foreign national staying at a hotel in Thailand must provide passport information to the hotel.
You also need to complete a Thailand Digital Arrival Card within 3 days prior to arrival. More information is given under the ‘General FAQs’
Refund Policy
Requests for cancellation and refund of registration must be received by May 31, 2025. Such registrants will receive a full refund, less a $10 administration fee. After May 31, onsite registration will be transferred to online registration, with the difference refunded. (Note: Online registration allows full access to pre-recorded presentations, ppts, papers and handouts during and after the conference).
